Booking and Payment
All bookings must be made in advance via phone, email or the website.
A refundable deposit of £500 is required to secure all-day bookings. Full payment must be made 7 days before the event. Failure to pay may result in cancellation of the booking.
Cancellation Policy
Cancellations must be made in writing. Cancellations received 7 or more days prior to the event will incur a 20% charge of the amount owed or already paid. No refund will be given if a cancellation is made less than 24 hours before the event.
Keys
It is the hirers responsibility to arrange collection of the keys.
Keys must be collected by arrangement on or before the day of hiring. After securing the premises the key must be returned either the same day or following morning (by prior arrangement). An email will be sent at least one day prior to the booked event with details of how to collect the key. Keys must be returned immediately after your event.
Use of Facilities
The hirer is responsible for the room and its contents during the hire period.
The hirer must comply with all relevant laws and regulations.
The hall and grounds must be left in a clean and tidy condition.
All rubbish must be removed or disposed of in the designated bins.
Failure to leave the premises in a satisfactorily clean condition will incur an additional clean-up charge which will be deducted from the deposit.
Grounds Hire
The grounds can be hired for caravan clubs, sports events, or similar activities, subject to availability and approval. Hirers must provide details of the intended use of the grounds, including the number of attendees, and any special requirements.
A designated area must be allocated for caravans, with consideration for access to facilities.
Hirers of the grounds must ensure that all activities comply with local laws and regulations, including safety and insurance requirements.
Car Parking
Parking is available on the premises for the duration of the event.
The hirer is responsible for informing all attendees about the parking arrangements.
Cars must be parked in designated areas only, and any vehicles causing obstruction may be removed at the owner's expense. The village hall accepts no responsibility for loss or damage to vehicles or their contents while parked on the premises.
Capacity and Fire Safety
The maximum capacity for the hall or meeting room are outlined on the website. Exceeding this limit is strictly prohibited.
The Hirer is responsible for fire safety during the event. This includes appointing a responsible person to assist anyone who may need assistance evacuating in an emergency.
Hirers must ensure that all fire exits are kept clear at all times and that the fire safety plan is adhered to. The hirer is also responsible for printing a copy of the fire procedure available on the website and following the fire procedure, including evacuation and notifying the fire brigade if there is a fire.
Insurance and Liability
The hirer is responsible for obtaining adequate insurance for their event, including liability coverage if using the grounds. The village hall is not liable for any loss, damage, or injury incurred during the hire period.
Alcohol and Catering
The consumption of alcohol on the premises is subject to licensing laws. Please contact the Harrow pub should you wish to enquire about a drinks bar. If catering services are provided, the hirer must ensure that all food safety regulations are adhered to.
Gaming, Betting & Lotteries
The Hirer shall ensure that nothing is done on or in relation to the premises in contravention of the law relating to gaming, betting and lotteries.
Decorations and Equipment
Decorations must not damage the hall’s interior. No tape, pins, or tacks may be used on walls or ceilings. Any equipment or furniture moved during the event must be returned to its original position. Hirers must ensure that, if using the grounds, they are not damaged during their use. Any specific requirements for grounds maintenance or restoration must be agreed upon in advance. Any damage caused will be charged to the hirer, in the first instance deducted from the deposit.
Behaviour and Conduct
The hirer is responsible for the conduct of all guests.
The village hall reserves the right to terminate the booking without refund if any guests engage in inappropriate behaviour.
Amendments
The village hall reserves the right to amend these terms and conditions at any time.
Hirers will be notified of any changes prior to their event.
Governing Law
These terms and conditions are governed by the laws of England and Wales.
By signing this agreement, the hirer agrees to abide by these terms and conditions.
